CLUB HOUSE COMMITTEE

The club house chairperson is appointed by and reports to the board. The committee oversees the use of the club house; the property manager oversees the maintenance of the club house. The club house is used for board and association membership meetings, and various committee meetings. The club house may be reserved by any homeowner or renter in good standing with association dues. Reservations are on a first come, first served basis; a security deposit is required to reserves the use of the facility. It is recommended that the committee consist of a minimum of 2 members.

RESPONSIBILITIES:

  • Club House Committee
    • Propose an annual budget.
    • Oversee the use of the club house.
  • Property Manager
    • Oversee general maintenance of the club house.

DUTIES:

  • Chairperson
    1. Attend quarterly and annual association meetings; submit a report at each.
  • Chairperson and/or designated Committee member
    1. Respond to reservation inquiries.
    2. Schedule reservations.
      1. Collect $200.00 security deposit; refundable if club house left clean and no damages incurred. Person placing reservation to sign reservation agreement.
      2. Schedule walk-through of club house prior to use; provide key, a copy of rules and regulations, review supplies and equipment.
      3. Schedule walk-through following club house use; return deposit if facility is clean and no damages incurred, retain key.
    3. Maintain chronological record of reservations, and other matters of business.
    4. Report to property manager any/all maintenance needs, e.g. lighting, heating/air conditioning, plumbing, appliances, etc.
    5. Order kitchen/bathroom supplies as needed.
    6. Retain a professional cleaning service for monthly cleanings. 8. Submit bills/vouchers to business secretary for payment
  • Property Manager
    1. Forward reservation inquires to coordinator(s).
    2. Set up tables/chairs for board meetings and all membership meetings.
    3. Maintain physical operation, e.g. lighting, heating/air conditioning, plumbing, appliances, exterior decking/steps, roofing, etc.
    4. Schedule window cleaning, exterior painting.
