BOARD OF DIRECTORS’ REGULAR MEETING
THE KNOLLS VILLAGE TOWNHOUSE ASSOCIATION
A regular meeting of the Knolls Village Townhouse Association was held on Tuesday, December 2, 2008 at the association clubhouse at 6:30 PM. Present were Directors Dick Campbell, Barbara Stokes, Rick Olson, Doug Hall, Josh Lunde and Joe Johnston; Committee Chairs Fred Langford, Joy Stanton and Don Boyson; and Manager Warren Deutsch. Joan Rowe was present to record the proceedings. One homeowner was also present at the meeting.
A motion was made by Barbara Stokes and seconded by Joe Johnston to accept the financial statements as presented. The motion was passed.
Barbara Stokes made a motion to approve the minutes of the November 4, 2008 board meeting as written. The motion was seconded by Josh Lunde and was passed.
Fred Langford, Web-site Manager, stated that the minutes for the annual meeting and the regular October minutes, the October balance sheet, the November newsletter and the December Board meeting agenda are on the web-site. Fred asked the Board to approve a change in web-site servers.
Dick Campbell made a motion to move the Association web-site from its present FrontPage server to the “WebSite Tonight” system. The motion was seconded by Doug Hall and was passed.
A letter of resignation from Ann Eastridge as chair of the Special Events Committee was read. It is hoped that another member of the committee will volunteer to serve as chair of the committee.
Joy Stanton, Clubhouse Committee, stated that there were 8 uses of the clubhouse in November. The Board thanked the committee for the holiday decorations in the clubhouse. Joy was informed that brighter lights are being used on the outside of the clubhouse to better light the steps to the parking area.
Dick Campbell, Pool Committee, informed the Board that gift cards have been purchased for the pool staff. Warren Deutsch stated that a railing leading into the basement area of the clubhouse is ready to be installed and that the gate into the pool area will be completed before the 2009 season. Dick stated that the issues regarding the tennis court gate are being worked on.
Don Boyson, Architectural Control Committee, stated that the committee receives, on average, five requests per month. The painting for 2009 will begin around April 1st. There are three old garage doors in the painting area that will be replaced. Window wells will be painted.
Doug Hall, Treasurer, reported that the total reserve portfolio is $381,687.00 and the paint fund totals $82,176.00. Two T-bills have been purchased maturing May 28, 2009 and November 19, 2009.
Warren Deutsch, Maintenance Manager, summarized the November projects. The projects included repainting the entry sign at East Geddes Avenue, leaf collection, caulking cracks and edges of the new concrete at 2504-2594 East Geddes Avenue, Installing a handrail at 7360 South Columbine Way, making the new handrail for the clubhouse basement stairwell, sanding and repainting all the handrails in the common areas, weed spraying and changing bulbs.
Warren also stated that the work sheet for updating the reserve study has been sent to Association Reserves to produce an updated reserve study.
A motion was made by Dick Campbell and seconded by Barbara Stokes to accept the proposal from Omeron & Associates to audit the books and prepare tax returns for the year ending December 31, 2008. The motion was passed.
Josh Lunde made a motion to retain Joan Rowe to provide administrative services for 2009. Barbara Stokes seconded the motion and it was passed.
There being no further business, the meeting was adjourned.
The Board conducted an executive session following the regular meeting.

Dick Campbell made a motion to move the Association web-site from its present FrontPage server to the “WebSite Tonight” system. The motion was seconded by Doug Hall and was passed.
A motion was made by Dick Campbell and seconded by Barbara Stokes to accept the proposal from Omeron & Associates to audit the books and prepare tax returns for the year ending December 31, 2008 for between $1,700.00 and $1,900.00. The motion was passed.
Josh Lunde made a motion to retain Joan Rowe to provide administrative services for 2009 in the amount of $897.60 per month. Barbara Stokes seconded the motion and it was passed.
